The best QR code checklist apps for equipment in 2026

By the CheckBadges team · Updated · 7 min read

The short answer

The best QR code checklist app for equipment is CheckBadges (our product): each machine's sticker opens its checklist in any phone's browser with no app or login, free for 3 machines. Jotform makes a no-login QR form you build yourself. Lumiform, Whip Around, MaintainX and SafetyCulture (Mitti) all use QR codes on equipment too, but scanned inside their apps, with a login.

Key takeaways

  • There are two kinds of QR checklist: codes that open a web page anyone can use, and codes scanned inside an app that needs a login.
  • A code per machine is what makes a QR checklist useful: the scan says which machine, so the record files itself.
  • No-login submission exists elsewhere, mostly as a side feature: Fleetio's public link, GoCanvas web forms on its top plan, Fleetpal for large truck fleets.
  • Generic QR forms (Google Forms, Jotform) are cheap but don't track machine status or warn the next operator.

The picks

1

CheckBadges

Our pick for pre-use checks

Built around one printed QR sticker per machine that opens that machine's checklist in the phone's browser; checks file under the machine, problems email you with photos, and the next scan shows any open problem.

QR code equipment checklists: every machine gets a printed QR sticker, operators scan it with their own phone's camera and do its pre-use check in the browser, and problems email the owner with photos straight away. Best for: Anyone whose people run machines that need checking before use — warehouses, construction, rental yards, plants, farms and fleets — who wants checks done and recorded without rolling out an app.

How an operator does a check
Scan the QR sticker on the machine with the phone's camera, answer that machine's checklist in the browser, submit. About a minute.
Operator needs an app or login
No. No app, account or password: operators type their name, or a 4-digit PIN if you turn PINs on.
Free plan
Free for up to 3 machines, with every feature and unlimited operators.
Pricing
Free for up to 3 machines. Pro is $9 a month for your first 3 machines, plus $1.50 a month for each machine after that. Operators and checks are unlimited on both.

10 machines: $19.50/mo · 25 machines: $42/mo · 50 machines: $79.50/mo

2

Jotform

Form builder

Point a QR code at a public Jotform and anyone can fill it in without an account; you'll need a form or prefilled link per machine, and the follow-up is up to you.

Jotform is a popular online form builder: you can make an inspection form (it publishes forklift checklist templates), share it as a public link or QR code, and collect submissions. Best for: Teams that want one flexible, inexpensive form tool for many jobs — inspections among them — and are happy to build and watch the forms themselves.

How an operator does a check
The operator scans a QR code or opens a link to the form, fills it in in the phone's browser (or Jotform's mobile app), and submits.
Operator needs an app or login
No. Operators fill in a public form link in the browser without an account; Jotform's mobile app is optional.
Free plan
Free Starter plan: 5 forms, 100 submissions a month and 100 MB of uploads.
Pricing
Starter is free. Bronze is $39 a month ($34 billed annually) for 1,000 submissions a month, Silver $49 ($39) for 2,500 and Gold $129 ($99) for 10,000; these plans have one user, and multi-user accounts need Enterprise.

10 machines: $39/mo · 25 machines: $49/mo · 50 machines: $49/mo

3

Lumiform

Inspection app

'QR code triggers form' on the machine, with missed-check reminders and a scheduler — but seats are licensed per user and pricing is by quote.

Lumiform is a German mobile inspection and audit app with QR-triggered forms, reminders and a scheduler, licensed by user seat and now sold by quote. Best for: Companies that want scheduled inspections and audits with reminders, approvals, analytics and multilingual forms, and are happy to buy through a sales quote.

How an operator does a check
The worker opens the Lumiform app (or, per its forklift page, a web browser), scans the QR code on the machine, completes the checklist and submits.
Operator needs an app or login
Yes, as far as we could confirm: Lumiform is licensed by user seat, and a seat can log in on two mobile devices. Its forklift page mentions using a web browser, but we couldn't confirm that someone without a seat can submit.
Free plan
No public free plan; pricing is by quote.
Pricing
Quote only as of October 2026: Professional is 'Request a quote' and Enterprise 'Individual', billed in EUR, GBP or USD. Earlier public per-user prices no longer appear on its site.

10 machines: Quote only · 25 machines: Quote only · 50 machines: Quote only

4

Whip Around

Fleet inspection app

Generate a QR code per asset and drivers scan it in the Whip Around app to start that asset's inspection, even offline.

Whip Around is fleet inspection and maintenance software, best known for vehicle DVIRs, where drivers do inspections in its mobile app and defects flow through to repairs. Best for: Vehicle fleets — especially DOT-regulated trucks — that want DVIRs, a defect-to-repair workflow, maintenance and fuel in one system.

How an operator does a check
The driver opens the Whip Around mobile app, logs in (username and password, or an SMS login link), scans the vehicle's QR code in the app or picks the vehicle, and completes the inspection — even without cell coverage.
Operator needs an app or login
Yes. Drivers use the Whip Around mobile app and log in with a username and password or an SMS login link. Users are unlimited, so there's no per-driver fee.
Free plan
No free plan; a 7-day free trial of Pro, with no card needed.
Pricing
Billed per asset with unlimited users, monthly or annually, with special pricing for trailers, machinery and equipment. We couldn't confirm dollar prices on Whip Around's own site in October 2026; a third-party comparison from March 2026 lists it from $5 per asset a month.

5

MaintainX

CMMS

Generates a QR code and barcode for every asset automatically, scanned in its app to pull up procedures and work orders — every user is a paid login.

MaintainX is a maintenance and operations platform (CMMS) with work orders, procedures, preventive maintenance and asset QR codes, used through its mobile and web apps. Best for: Maintenance teams that want work orders, preventive maintenance, parts and analytics, and will license every person who completes procedures.

How an operator does a check
The operator opens the MaintainX app, signs in, scans the asset's QR code or finds the work order, and completes the procedure (checklist) attached to it.
Operator needs an app or login
Yes. Every operator needs their own MaintainX login, and each one is a paid user on Essential or Premium. Free requester accounts can submit work requests, not complete procedures.
Free plan
Basic is free, but allows only 2 work orders with attached procedures and 2 active repeating work orders.
Pricing
Basic is free. Essential is $25 a user a month billed monthly ($20 annually) and Premium $75 ($65), which allows unlimited procedures on work orders; Enterprise is quoted.

10 machines: $1,500/mo · 25 machines: $3,750/mo · 50 machines: $7,500/mo

6

SafetyCulture (Mitti)

Inspection app

The Mitti app scans QR codes or barcodes on assets to start inspections, with a huge template library behind them; the camera alone won't open a check.

SafetyCulture, rebranded in 2026 as Mitti (and long known for its iAuditor app), is a large inspection and operations platform where each person who does inspections uses its app with their own seat. Best for: Safety and operations teams that run many kinds of audits and inspections, want scheduling, actions and training in one place, and have people who will all use the app.

How an operator does a check
The operator opens the Mitti app (or the web app), signs in, picks the inspection template or scans the asset's code inside the app, and completes it — online or offline.
Operator needs an app or login
Yes. Each operator signs in to the Mitti (SafetyCulture) app or web app with their own seat: free for up to 10 seats, then $29 a seat a month. The pricing page also lists free guest seats, but we couldn't confirm whether guests can complete inspections.
Free plan
Free for up to 10 seats, with 5 active inspection templates.
Pricing
Free for up to 10 seats and 5 active templates. Premium is $29 a seat a month billed monthly, or $24 billed annually, according to Mitti's pricing page; Enterprise is quoted.

10 machines: $580/mo · 25 machines: $1,450/mo · 50 machines: $2,900/mo

Two kinds of QR checklist

A QR code on a machine is just a link. What matters is what the link opens and who can use it:

DesignWhat the scan opensOperator needsExamples
Browser checklist per machineThat machine's checklist, as a web pageA phone cameraCheckBadges
Public formOne shared form, or one per machine that you buildA phone cameraJotform, Google Forms
In-app asset codeThe asset, inside a mobile appThe app and a loginSafetyCulture (Mitti), Lumiform, MaintainX, Whip Around

The first two work for anyone who picks up the machine, including temps and agency staff on their first day. The third is better connected — offline use, reminders, work orders — but only for people you've set up in the app. Read how to set up QR code equipment checklists for a step-by-step version.

How we compared them

We compared each tool on how the QR code works in practice:

  • Does the camera alone open the checklist, or does the code only work inside an app?
  • Is the code per machine, so the check knows what it's for?
  • Identity: how the tool knows who did the check — a login, a typed name, a PIN, or nothing.
  • What happens on a problem, and whether the next person to scan sees it.
  • Price for 10, 25 and 50 machines, billed monthly where offered.

No-login QR options outside our picks

Several products offer a way to submit without logging in, usually as a side feature of something bigger:

  • Fleetio's Public Inspection Submission Link lets anyone with the link submit an inspection form without a Fleetio account. It's one link per form, not per vehicle, and submissions are recorded as a single "Guest User". See CheckBadges vs Fleetio.
  • GoCanvas web forms can be submitted from any browser without a login, but only on its Max plan ($49 a user a month, 3-user minimum, billed annually).
  • Fleetpal Inspect offers QR-code driver inspections with no app install or login, free for US and Canadian truck fleets with 30 or more power units. It's built for DOT trucks, not equipment or small fleets.
  • HireCheck (Australia) puts a QR sticker on hire equipment that opens an inspection in the browser, built for hire companies' condition reports; staff still have logins, capped by plan.
  • SALUS and FieldScout advertise browser QR equipment checks with no app, for large construction contractors; neither publishes prices.
  • CheckProof offers "Public Objects", where people outside your team scan an asset's QR code and complete selected checks without an account, as an add-on to an annual per-user plan with a 5-user minimum.

Why one code per machine matters

A QR code per machine is what turns a form into a record of that machine. When the scan itself says which machine it is, the operator can't pick the wrong one, every check lands in that machine's history, and a problem found on Monday can be shown to whoever scans the same machine on Tuesday. With one shared code, all of that depends on the operator choosing correctly from a list, and on someone matching answers to machines afterwards. Some tools get per-machine codes by building a form or prefilled link for each machine; that works, but every checklist change has to be made everywhere.

What to put on the sticker

Whatever tool you use, the sticker has to survive the machine. Put it where the operator stands before starting — the mast, the dash, the control box — at a size that scans from arm's length, on weatherproof stock outdoors. Our free QR code label maker prints codes for any link, and how to label equipment with QR codes covers placement and materials.

Which one to choose

Choose by who will scan the code:

  • Anyone who runs a machine should be able to check it, with no setup: CheckBadges.
  • A quick QR form for a few machines, and you'll watch the responses yourself: Jotform, or Google Forms if you don't need photos.
  • Your team already uses an inspection platform: use its in-app QR scanning — SafetyCulture (Mitti) or Lumiform.
  • The QR codes are mainly for maintenance, not pre-use checks: MaintainX.
  • A vehicle fleet whose drivers use an app anyway: Whip Around.
  • A US or Canadian truck fleet with 30 or more power units: look at Fleetpal's free QR DVIRs.

Frequently asked questions

What is the best QR code checklist app?

For equipment, CheckBadges: each machine gets a QR sticker that opens its own checklist in the phone's browser, with no app or login, and checks file under that machine. It's free for 3 machines, then $9 a month plus $1.50 per machine after 3 ($19.50 for 10).

Can a QR code open a checklist without an app?

Yes, if the code links to a web page. CheckBadges, Jotform and Google Forms all open in the phone's browser. In SafetyCulture (Mitti), MaintainX and Whip Around, asset QR codes are scanned inside the app; Lumiform mentions a browser option but licenses each user.

How does a QR code inspection know who did the check?

App-based tools use each person's login. CheckBadges asks the operator to type their name (remembered on their phone), or — if you turn on operator PINs — their own 4-digit PIN, which signs the check. Public forms know only what the person types.

Can I make QR code checklists with Google Forms?

Yes: make the form, turn its link into a QR code and stick it on the machine. The limits are that one form serves every machine unless you build one per machine, photo uploads need a Google sign-in, and nothing tracks whether a failed machine was fixed.

Do QR code stickers work on outdoor equipment?

Yes, on weatherproof label stock or laminated card. Keep the code clean, flat and about an inch square or larger, and place it where the operator stands before starting the machine.
