The best free inspection apps for equipment in 2026
By the CheckBadges team · Updated · 6 min read
The short answer
The best free inspection apps for equipment are CheckBadges (our product; free for 3 machines with every feature and unlimited operators), SafetyCulture (Mitti; 10 seats and 5 templates), Connecteam (10 users), Google Forms (free, but photos need a Google sign-in), Jotform (100 submissions a month) and Simply Fleet (5 vehicles, 3 users). Each free plan has a different catch.
Key takeaways
Every free plan limits something: machines, users, templates, submissions or history. Pick the one whose limit you won't hit.
Free plans capped at 3 or 10 users run out fast with shift crews, where everyone does checks.
CheckBadges' free plan limits machines (3), not operators or features.
DIY forms are free but don't know which machine they're on or warn anyone about a failed check.
Check what the next tier costs before you build on a free plan.
Free for 3 machines with every feature — QR stickers, photo problem reports, instant email alerts, next-operator warnings and CSV export — and unlimited operators. Pro is $9 a month for 3 machines plus $1.50 for each one after.
QR code equipment checklists: every machine gets a printed QR sticker, operators scan it with their own phone's camera and do its pre-use check in the browser, and problems email the owner with photos straight away. Best for: Anyone whose people run machines that need checking before use — warehouses, construction, rental yards, plants, farms and fleets — who wants checks done and recorded without rolling out an app.
How an operator does a check
Scan the QR sticker on the machine with the phone's camera, answer that machine's checklist in the browser, submit. About a minute.
Operator needs an app or login
No. No app, account or password: operators type their name, or a 4-digit PIN if you turn PINs on.
Free plan
Free for up to 3 machines, with every feature and unlimited operators.
Pricing
Free for up to 3 machines. Pro is $9 a month for your first 3 machines, plus $1.50 a month for each machine after that. Operators and checks are unlimited on both.
Free for up to 10 seats with 5 active inspection templates, an offline app and a huge template library — enough for a small team that will all use the app.
SafetyCulture, rebranded in 2026 as Mitti (and long known for its iAuditor app), is a large inspection and operations platform where each person who does inspections uses its app with their own seat. Best for: Safety and operations teams that run many kinds of audits and inspections, want scheduling, actions and training in one place, and have people who will all use the app.
How an operator does a check
The operator opens the Mitti app (or the web app), signs in, picks the inspection template or scans the asset's code inside the app, and completes it — online or offline.
Operator needs an app or login
Yes. Each operator signs in to the Mitti (SafetyCulture) app or web app with their own seat: free for up to 10 seats, then $29 a seat a month. The pricing page also lists free guest seats, but we couldn't confirm whether guests can complete inspections.
Free plan
Free for up to 10 seats, with 5 active inspection templates.
Pricing
Free for up to 10 seats and 5 active templates. Premium is $29 a seat a month billed monthly, or $24 billed annually, according to Mitti's pricing page; Enterprise is quoted.
Free for up to 10 users, with forms and checklists alongside scheduling and time tracking, if everyone uses its app.
Connecteam is an all-in-one app for deskless teams — time clock, scheduling, chat, forms and checklists — where each employee uses the Connecteam app with their own account. Best for: Teams where everyone has a smartphone and you want scheduling, time tracking, chat and checklists in one employee app.
How an operator does a check
The operator opens the Connecteam app, signs in, finds the checklist or form and fills it in.
Operator needs an app or login
Yes. Each operator needs a Connecteam account and the app; forms and checklists live inside it. It's free for up to 10 users.
Free plan
Free for up to 10 users.
Pricing
Free for up to 10 users. Operations Hub Basic is $35 a month billed monthly ($29 yearly) for the first 30 users, plus $1 ($0.80) per extra user; Advanced and Expert cost more.
Costs nothing for any number of forms and responders, if you build the checklist yourself — but photo uploads require a Google sign-in and nothing keeps track of machines.
Google Forms is Google's free form builder: you can write a checklist as a form, put its link in a QR code, and collect the answers in a Google Sheet. Best for: A few machines, simple yes/no checks without photos, and someone who reads the response sheet every day.
How an operator does a check
The operator scans a QR code (or opens a link) to the form, picks the machine if the form asks, answers the questions in the browser and submits.
Operator needs an app or login
No, for ordinary questions: anyone with the link can answer. But a file upload question — the way to attach a photo — makes responders sign in to a Google Account.
Free plan
Free with a Google account.
Pricing
Free with a Google account. Google Workspace is optional and isn't needed to build or share a form.
Starter is free for 5 forms and 100 submissions a month, with forklift checklist templates and no account needed to fill in a form.
Jotform is a popular online form builder: you can make an inspection form (it publishes forklift checklist templates), share it as a public link or QR code, and collect submissions. Best for: Teams that want one flexible, inexpensive form tool for many jobs — inspections among them — and are happy to build and watch the forms themselves.
How an operator does a check
The operator scans a QR code or opens a link to the form, fills it in in the phone's browser (or Jotform's mobile app), and submits.
Operator needs an app or login
No. Operators fill in a public form link in the browser without an account; Jotform's mobile app is optional.
Free plan
Free Starter plan: 5 forms, 100 submissions a month and 100 MB of uploads.
Pricing
Starter is free. Bronze is $39 a month ($34 billed annually) for 1,000 submissions a month, Silver $49 ($39) for 2,500 and Gold $129 ($99) for 10,000; these plans have one user, and multi-user accounts need Enterprise.
Free for 5 vehicles and 3 users with inspections and issues, keeping 6 months of data — built for vehicles, with drivers using its app.
Simply Fleet is low-cost fleet management software for vehicle fleets, with inspections, issues, maintenance tracking and a driver app, priced per vehicle with unlimited users. Best for: Small and mid-size vehicle fleets that want inexpensive fleet management — inspections, issues and maintenance — with a free plan to start.
How an operator does a check
The driver opens the Simply Fleet app, signs in, identifies the vehicle (the app can scan barcodes to identify assets), completes the inspection and signs it.
Operator needs an app or login
Yes. Drivers use the Simply Fleet mobile app with their own user login. Paid plans include unlimited users; the free plan allows 3.
Free plan
Free for 5 vehicles and 3 users, with 6 months of data storage.
Pricing
Free for 5 vehicles and 3 users. Essential is $3 per vehicle a month and Advanced $5 (or $30 and $50 per vehicle a year), with a 5-vehicle minimum and unlimited users; its page announced pricing changes from 15 September 2026.

QR codes on equipment
Every machine gets its own printed QR sticker, 8 to a page. A lost sticker is reissued in a click.
Inside the Mitti app: assets can carry QR codes or barcodes that the app scans to start an inspection. The phone's own camera doesn't open a check without the app and a login.
Not found: checklists are opened inside the Connecteam app rather than from a code on each machine.
Do it yourself: make a QR code of the form's link. One form for every machine means operators pick the machine; a code per machine means a form or prefilled link for each one.
Do it yourself: point a QR code at the form (Jotform has a QR code generator). A code per machine means a form or a prefilled link for each machine.
Its app scans barcodes to identify assets; QR codes on equipment weren't specifically mentioned.

The catch in every free plan
Every free inspection app limits something. The question is which limit you'll hit first:
Free plan
What's free
The limit that bites
CheckBadges
Every feature, unlimited operators and checks
3 machines
SafetyCulture (Mitti)
The inspection app for 10 seats
5 active templates; seat 11 is paid
Connecteam
All hubs for 10 users
User 11 is paid
Google Forms
Forms and responses
Photos need a Google sign-in; no machine tracking
Jotform Starter
5 forms
100 submissions a month, 100 MB of uploads
Simply Fleet
5 vehicles
3 users and 6 months of data
The free plans split into two kinds. Some limit people — SafetyCulture, Connecteam, and Simply Fleet's users — which is fine for a small team and hard for a two-shift crew where everyone does checks. Others limit machines or volume — CheckBadges, Jotform, and Simply Fleet's vehicles — which is fine as long as your fleet or your check volume is small.
How we compared them
We looked at whether each free plan works for real equipment checks, not just a demo:
Is the free plan really usable for equipment checks, or a trial in disguise?
What it limits: machines, users, templates, submissions or history.
What operators need: an app, an account, or just a browser.
What happens to a failed check on the free plan.
What the first paid tier costs when you outgrow it.
Free tools not in our picks
These free options are worth knowing, with their catches:
Ideagen Asset Guard is a free machinery pre-start app with unlimited pre-starts and a library of over 120,000 makes and models. Each operator downloads the app and creates an account, and the fleet-level dashboard depends on the paid Ideagen Machine Safety platform.
Fleetpal Inspect made its QR-code driver inspections free, with no driver app install or login — but only for US and Canadian truck fleets with 30 or more power units, verified by USDOT number. It doesn't cover forklifts, lifts or small fleets.
FleetRabbit says in its FAQ that it's free for up to 3 assets, then $50 per vehicle a year, with drivers using its app.
MaintainX Basic is free per user but allows only 2 work orders with attached procedures, which rules out daily checks across a fleet.
Safesite has a free safety app with unlimited members and guests and a 30-day reporting window.
Which free plan fits
Match the free plan to the limit you won't hit:
Up to 3 machines, any number of operators: CheckBadges, with every feature included.
Up to 10 people who'll all use an app: SafetyCulture (Mitti) for inspections, or Connecteam if you also want scheduling and time tracking.
A handful of vehicles and 3 drivers: Simply Fleet.
One or two machines, no photos needed, and someone reads the sheet every day: Google Forms, set up with our Google Forms checklist guide.
A light, flexible form: Jotform Starter, if 100 submissions a month is enough — about four operators doing one check each working day.
What free tools usually can't do
The free DIY route covers the form. What it usually leaves to you is everything after the form: knowing which machine an answer belongs to, noticing a failed check the same day, stopping the next shift from using a machine that failed, and pulling one machine's history together for an auditor. Those are the jobs purpose-built tools exist for, and the reason a free plan with a machine limit can be worth more than an unlimited form. Our guide to what to do when equipment fails inspection covers the follow-up in detail.
When to stop using a free plan
When the workaround costs more than the upgrade. Common signs: a failed check nobody saw until the next day, operators picking the wrong machine on a shared form, a seat limit that pushes people to share logins, or an inspector asking for records you can't find. CheckBadges Pro is $19.50 a month for 10 machines — see pricing — and you can try it with your own machines before signing up.
Frequently asked questions
What is the best free inspection app for equipment?
It depends on the limit you can live with. CheckBadges is free for 3 machines with every feature and unlimited operators; SafetyCulture (Mitti) is free for up to 10 seats and 5 templates; Connecteam is free for up to 10 users.
Is there a completely free equipment inspection app with no limits?
Not one that keeps track of machines. Google Forms is free with no seat limit, but it doesn't know which machine a check is for, can't take photos without a Google sign-in and doesn't follow up failed checks. Every purpose-built app limits machines, users or volume on its free plan.
Can a free inspection app handle a two-shift crew?
Only if it doesn't limit users. Free plans capped at 3 or 10 users run out fast when every operator on every shift does checks. CheckBadges' free plan limits machines instead, so any number of operators can check up to 3 machines.
Do free inspection apps send alerts when a check fails?
Some do. CheckBadges' free plan emails your alert list with photos the moment a check has problems. Google Forms can email you on every response, failed or not, and Jotform sends whatever notifications you set up on each form.
Can I use a free app for OSHA inspection records?
Yes. OSHA doesn't prescribe a format, and for the daily forklift check it doesn't require a written record at all. What matters is that checks happen and you can show they did: a dated record of who checked which machine.
Stick a QR code on every machine and operators do the pre-use check on their own phone — no app, no login. Free for up to 3 machines; try it with your real machines before you sign up.
